The File Upload Element: Complete Guide

The File Upload element lets customers attach a file to their order — artwork, a photo, a logo, a spec sheet, or a reference document. This is essential for made-to-order, custom print, and personalization businesses where the customer needs to send you something before you can fulfill the order. This guide covers everything: adding the element, renaming its label, size and file-type limits, handling very large files, and troubleshooting.


Adding a File Upload element


  1. Open your calculator in the Apippa admin.
  2. In the Elements panel, click + Add and choose File Upload.
  3. The element is added as a card in your calculator. Click the pencil (edit) icon to open its properties.
  4. Set a clear Label, decide whether it is required, then save.
  5. Publish and preview on the product page to confirm it appears where you want it.


Renaming the upload button / label


The default label often reads simply "Upload," which many merchants want to change to something more specific.


  1. Click the pencil (edit) icon on your File Upload element.
  2. Edit the Label field — this is the text customers see. For example, change "Upload" to "Upload your artwork," "Attach your logo," or "Upload your design file."
  3. If your element supports a description/help field, use it to add guidance underneath (for example "Accepted: JPG, PNG, PDF — max size applies").
  4. Save the calculator. The new label appears on the product page after publish.


File size and type limits


  • Maximum size: A size cap is enforced to keep the product page and checkout fast and reliable. Very large files — high-resolution print-ready art, large videos — may be rejected.
  • Accepted types: Common image and document formats such as JPG, PNG, and PDF are supported. If you need a specific file type enabled that isn't accepting, contact support.
  • Why a cap exists: Files are attached to the cart/order flow. Oversized uploads can slow the page or fail at checkout, which costs you sales — so the limit protects the buying experience.



If your customers routinely need to send large files that exceed the upload cap, the best practice is:


  1. Add a Text input element labeled something like "Paste your file link."
  2. Ask customers to upload their file to a sharing service (Google Drive, Dropbox, WeTransfer) and paste the shareable link.
  3. This avoids upload failures at checkout entirely and works for files of any size.


You can keep both a File Upload (for small files) and a Text input for links, and use conditional logic or clear labels to guide customers.


Where the uploaded file appears


Once a customer completes checkout through the calculator, the uploaded file (or its reference) is attached to the order so you can access it during fulfillment. If a file isn't appearing on an order, see troubleshooting below.


Troubleshooting


  • The upload button label won't change. Make sure you edited the Label field on the File Upload element specifically, then saved and published.
  • Uploads fail or the file is rejected. The file likely exceeds the size cap. Use the large-file link workaround above.
  • The uploaded file doesn't appear on my order. Confirm the File Upload element is inside the active calculator and that the order was placed through the calculator's Add to Cart flow — not the theme's default add-to-cart.
  • I need a file type that isn't accepted. Contact support with the specific format you need.
